This is NOT a complete list of the types of records of the fields included in each record. It is just a sampling to illustrate the usual structure of library systems. Actual systems will have more types of records and many more data fields.

  • Acquisitions

    • Vendor records fields include:
      • vendor name
      • address
      • contact person
      • phone number

    • Fund records fields include:
      • amount allocated($)
      • purpose of fund
      • source of funding
      • amount spent
      • amount encumbered

    • Order records fields include:
      • order number
      • ISBN
      • brief title
      • price
      • status (ordered, claimed, received, etc.)
      • date ordered


  • Online catalog and catalog maintenance

    • Bibliographic records (may be MARC) fields include:
      • bibliographic record number
      • title
      • author, editor, etc.
      • subject
      • publication information
      • physical description

    • Item records (sometimes called Copy records or Holdings records) (may be MARC) fields include:
      • item barcode
      • call number
      • copy number
      • circ type code

    • Authority records (may be MARC) fields include:
      • authorized heading
      • see reference
      • see also reference


  • Serials control

    • Bibliographic records (may be MARC) fields include:
      • bibliographic record number
      • title
      • author, editor, etc.
      • subject
      • publication information
      • physical description

    • Serials records fields include:
      • bibliographic record number
      • frequency pattern
      • subscription price
      • renewal date
      • status (current, ceased, etc.)

    • Issue records (sometimes called Holdings records or Item records) (may be MARC) fields include:
      • publication date
      • date expected
      • date received
      • status (expected, received, claimed, missing, etc.)


  • Circulation

    • Patron records (sometime called Borrower records) fields include:
      • patron barcode
      • name
      • zipcode

    • Transaction records fields include:
      • patron barcode
      • item barcode
      • date charged
      • date due

    • Circ type records fields include:
      • circ type code
      • circulation period (2 hours, 3 days, 2 weeks, etc.)
      • number of renewals allowed
      • overdue fine

    • Reserve records fields include:
      • item barcode
      • instructor's name
      • class number
      • circ type code

    • Bindery records fields include:
      • item barcode
      • date sent
      • return date
      • status
      • cost
